AI Questionnaire Assistance (AIQA) - Answer Customization

AI Answer Customization helps organizations deliver customer-ready questionnaire responses that sound polished and consistent, every time.

Overview

With configurable AI prompt presets, users can control the tone, level of detail, regional style, and formatting of AI-generated answers before they’re written. That means fewer manual edits, greater consistency across teams, and answers that align with a customer’s expectations from the start.

AI Answer Customization Presets allow teams to standardize how the AI answers questionnaires. while staying flexible for different customers, regions, and use cases.

Set them up once, reuse them everywhere, and spend less time editing answers after the fact.

What Are Presets?

A prompt preset is a reusable set of instructions that tells SafeBase AI how to answer questions.

Presets can control:

  • Tone (how formal or conversational the answer sounds)

  • Verbosity (how detailed the answer is)

  • Regional writing style (e.g., British vs. American English)

  • Formatting and structure

  • Context rules (when to mark questions as N/A)

Once created, presets can be reused across questionnaires to keep responses consistent and on-brand.

Who Can Use This Feature

  • Admins create and manage prompt presets for the organization

  • All users can select an existing preset before running AI on a questionnaire

How to Set Up AI Answer Customization

Confirm Permissions

To create or manage presets, users must be an Admin, or Questionnaire Administrator.

  • Questionnaire Admins: can create, edit, duplicate, and delete presets

  • Other users: can select and use existing presets when answering questionnaires

Configure Settings

  • Click Settings in the left navigation menu (or in Questionnaires)

  • In the Settings middle menu, click Questionnaires

The Default answering preset

  • This dropdown is used to select the default preset used for answering questionnaires. It will contain all custom & built in presets and will use the System Default preset by default.

Note: The System Default is the platform's baseline AI answering behavior and cannot be removed.

Answering Presets Table

  • The Answering Presets table is where users can view all information related to both the System Default and any Custom presets that are currently available

  • Preset creation, editing, and deletion are also accomplished in this table.

Note: Descriptions are especially helpful for guiding teammates on which preset to choose for different customers or scenarios.

Create a New Preset

  • Click Create Preset (or select an existing preset to edit)

  • Enter a Name

  • Add a Description

    • Include guidance like when to use it (e.g., specific customers, regions, or product types) This ensures users knows exactly when to apply the preset.

Configure how the AI should answer

Language

  • Choose how answers should be written

  • Choose if this option should be available between each run. If off, a single language will be used for every run.

Knowledge Base Options

  • Matching settings now live directly within presets

  • This controls the required similarity between a question and a knowledge base entry for a successful match, examples are given in the slider.

  • Comment controls and answer auto-approval are also included in this section

AI Answer Style & Composition Controls

Verbosity - Controls how much detail the AI includes.

  • Brief – Short, direct answers with only essential information

  • Standard – Balanced detail and clarity (recommended default)

  • Detailed – In-depth explanations for audits or documentation

Tone - Defines the voice of the AI answers.

  • Professional

    • Polished, structured, and formal

    • Best for audits and compliance reviews

  • Business Casual

    • Friendly, clear, and efficient

    • Recommended for most customer questionnaires

  • Conversational

    • Warm and approachable

    • Ideal for relationship-driven sales interactions

Additional Styling Instructions - Instructions to fine-tune answers

Common examples of how to fine-tune answers with prompts include:

  • Regional Style - “Use British English spelling and phrasing, Trust Center should always be spelled Trust Centre”

  • Standard Customer Questionnaire - "Use clear, customer-friendly language and match the formatting of this question (paste in example of a question with formatting you prefer)."

  • Formal Audit or Compliance Review - "Avoid contractions and use precise, structured language suitable for auditors." or "“Match the formatting of the provided example answer, including bullet points.”

  • On-prem vs Cloud Deployments: “Answer questions that mention on-prem deployments as not applicable.”

  • Catch Company or Product Names: “Refer to the company or product as Company XYZ in all answers”

Note: Max 600 characters. Keep instructions clear and focused for best results.

Best Practices

  • Start with Business Casual and Standard verbosity for most use cases

  • Create different presets for different customer types, regions and product types

  • Include a clear description of the preset so that teams know what preset to use in which cases

  • Preview presets and try a few permutations before rolling them out broadly

  • Refine presets over time to reduce manual edits

Preview AI Answer Styling Before Saving

  • In the Example Output section, click Test AI Answer Style to see a sample AI-generated answer using the current AI Customization preset.

  • This allows users to validate the preset before saving—without consuming AI credits.

Save or Duplicate Presets

  • Click Create to save the preset

  • A confirmation will be displayed once it’s created

To save time, there is an option to duplicate an existing preset, this allows users to:

  • Make small changes instead of starting from scratch

  • Rename or edit the description as needed

Select a Preset When Answering a Questionnaire

When a questionnaire in the Trust Center, a modal will ask which AI Preset to use, via the Answering mode:

  • Choose System Default, or any custom preset

  • Continue mapping the questionnaire as needed

  • Run AI answering

Review AI‑Generated Answers

Once AI answering completes, review and ensure the following:

  • Answers are generated using the selected preset

  • Tone, verbosity, and style reflect the preset configuration

  • Review that the preset has been applied specifically if a creative or stylistic preset is used, check if the answers visibly reflect that style.
