Before using this guide, please ensure that your Salesforce Admin has installed and configured the Managed App using these instructions:
The Salesforce Managed App allows Salesforce users to invite their customers and prospects directly from within Salesforce, without ever having to login to SafeBase.
Add Contacts from an Account Page
You can add one or more contacts from an Account Page by using the Add to SafeBase button.
Note: If your Salesforce instance has several buttons, you may have to click on the arrow on the right for additional options before you see this button.
Scenario 1: Account has never been added to SafeBase
In this scenario, the Account has not been created in SafeBase yet, and no Contacts have been invited.
You will see a modal popup that allows you to add an optional description, select a Permissions Profile, and an NDA Provider.
We recommend coordinating with your Security team for your organization's preferences on Permission Profile and NDA Provider.
When you hit Next, you will be allowed to add one or more Contacts, along with an option to send them an email notification and optional message.
Select the appropriate Contact(s) and click on Add to SafeBase to complete the process.
If the Managed App was configured properly, you will see a success message at the top of the page:
No further action is required on your end if you used the Send Email Notification option. The Contact will receive an email with full instructions on how to proceed.
Scenario 2: Account exists in SafeBase, but you want to add additional Contacts
If the Account has already been added to SafeBase, you can still add additional Contacts. You will be taken directly to the list of Contacts, and there is a column to indicate if a Contact has already been added.
Select the appropriate Contact(s) and click on Add to SafeBase to complete the process.
If the Managed App was configured properly, you will see a success message at the top of the page:
No further action is required on your end if you used the Send Email Notification option. The Contact will receive an email with full instructions on how to proceed.
If you did not choose the Send Email Notification option during this process, you can send an email from the Contact Page as described below.
Add a Contact from a Contact Page
You can also add a Contact from a Contact Page. This process will also create the Account in SafeBase if it has not already been done.
Scenario 1: Account has not been created
If the Account has not been created in SafeBase yet, you will be prompted to create one as in the section above:
After you hit Next, you can then proceed to add the Contact:
If your Managed App has been configured correctly, you should see this success message at the top of the page:
Scenario 2: The Account has already been created in SafeBase
If the Account has already been created in SafeBase, you will be taken the the step where you can add the Contact:
If your Managed App has been configured correctly, you should see this success message at the top of the page:
Resending an Invite Email for a Contact
After a Contact has been added, refreshing the page will now show a Resend SafeBase Invite Email button in place of Add to SafeBase.
You can use this button to send a new invite email with an optional message to the Contact:
Troubleshooting
The Add to SafeBase button is not visible.
Verify with your Salesforce Admin that the Managed App has been configured properly.
Contacts need to be associated with an Account and have a valid email before the button will be visible.
The Contact has been added, but they are saying they never received an email.
Contact us using the Intercom widget on the bottom right or at support@safebase.io. Sometimes emails get caught in Spam filters.
You see a "null reference error" or something similar.
