Overview
Within SafeBase's Knowledge Base (FAQ), organization members with the Admin and Knowledge Base Editor roles are able to designate access levels to control the visibility level of content based on the intended audience.
Access Levels
Internal
Items marked as Internal are only visible to Organization Members logged in to app.safebase.io. These items are not intended for customer or prospect access.
A common use case includes highly sensitive information meant exclusively for internal use, such as company financial data.
Newly created content will have this setting selected by default.
Private
Items marked as Private are visible to external users only after access to the Trust Center is approved and any required NDAs are signed. Private access is for content that is not meant for public visibility.
Common use cases include sensitive information that requires an NDA, such as details about the DLP tools used by an organization. Approved users receive access to both Public and Private items.
Public
Items marked as public are visible to anyone who visits the Trust Center’s public URL. These items are intended for broad sharing and should not contain any sensitive or confidential information.
A common use case is displaying questions from the CAIQ questionnaire, which is designed for public disclosure.
Viewing Item Details
Clicking on an item will open a modal window. If you click on a specific question, a side panel will open displaying all relevant details, including the question, answer, comments, and associated metadata.
Users can search and filter as needed.
Note: When you mark an item as a favorite in the Knowledge Base on the backend, it will also show as a favorite on the frontend.
This is a great way to highlight important or frequently referenced content.
Access for Single Items
Individual items can have their visibility changed when editing or creating a question:
Setting Access Levels When Importing Content
When importing content using the Import button, users can optionally include a column to specify the access level for each item. If this column is not included, all items will default to Internal access.
Note: A template is available in-app to use as a reference
