Overview
SafeBase's Documents feature enables an organization's documents and files to be bulk uploaded, edited, tagged, assigned, linked to items in the Trust Center Editor, etc., from a central location.

Note: Once content has been added, items can be individually added / linked in the Trust Center Editor
Getting Started
Organizations that have NOT uploaded any files to SafeBase or added/edited any cards/items will be automatically directed to the Documents section of the Trust Center Library . After these have been completed, the default landing page will be the Trust Center Editor.
Uploading Documents
If no documents have been uploaded to your Trust Center, organization members navigating to the Documents section will see a pop-up offering upload recommendations.
Once reviewed, click the Upload Document button in the top right corner.
Once clicked, an Upload to Library modal will appear. Users can Click to Upload or drag and drop files into the modal. Once added, click Upload.
Once the upload progress is finished, click Done.
Documents that have been uploaded will now appear in your Documents library
Documents Table
All information on uploaded documents can be found in the Documents table. The information included on the dashboard is as follows:

Expires AtdateNote: If a document is expiring within 30 days, all assigned owners will receive an email every seven days until the document expires. Once the document has passed its expiration date, notifications will stop. If the expiration date is updated to a new date in the future, notifications will resume 30 days prior to that new date.

Managing Individual Documents
To Edit the properties of an individual file, click on the file Name in the Documents table.
Details
By clicking on an individual file, users can: download, delete, and edit the properties of a document. Don't forget to click Save when you are done!
Document Name
The Document Name can be completely customized, this is especially useful for cleaning up filenames / creating standard naming conventions after bulk file upload.
Document Type
The Document type describes the document. Users can select the most relevant type, or select Other, this allows users to more clearly understand what type of file the document is, especially useful for organizations with a large number of documents in their Trust Center.
Products
If your organization utilizes SafeBase's multi-prod feature, this setting allows users to assign a file to a specific Product. Assigning a product will allow users to filter / sort files in the Documents table.
Tags
Tags are configured in the Tags section in the SafeBase Settings page.
Setting one or more tag(s) for a file allows users to filter / sort files by tag in the Documents table.
Assigned To
The Assigned To field allows users to assign a file to an org member or org member user group. Assigning an org member/group will allow users to filter / sort files in the Documents table.
Org members/groups assigned to a specific file will receive an expiration notification if the Expiration Date is set.
Document Behavior
Base Permission
A file's Base permission dictates if an account member's permission for an individual file is view only or view and download. To manage this setting globally, select Use organization default and set the global permission in the SafeBase Settings page under Documents.
Expiration
Files can be configured with Expiration date so that the Assigned to user/groups(s) or admins (if no user is assigned) will receive an email reminder when it is time to upload a new document.
Watermark
You can override the behavior of watermarking for individual documents here. To manage this setting globally, select Use organization default and set the global behavior in the SafeBase Settings page under Documents.
AI Features
This checkbox determines whether or not this document should be used as a source for AI-powered features in SafeBase.
Linked To
Instead of uploading documents to individual items within the Trust Center Editor one at a time, our Linked To feature allows users to link files to Trust Center items in a central location.
To link an item, select a product and search/find the specific item name.
In this example, we linked the SOC 2.pdf file to the SOC 2 Type 2 item. Files can be attached to multiple items.
After clicking the Save button, the file will be available in the Trust Center Editor attached to the linked item.
Replacing Documents
Clicking the Upload new button on an individual Document page allows you to upload a new version of that document into SafeBase. Uploading a new document preserves the links and behavior of the previous version, saving time and effort.
Before selecting a new file, you can indicate if you want to keep the existing document in your Trust Library or delete it first, and can also set options for unlinking the old version or removing it from the SafeBase's AI Datastore.
Unchecking "Un-link original from Trust Center items" will result in both version of the documents being linked to the Item in question.
After uploading successfully, you have the option to view the new document, or go to all documents.
