Trust Center - Document Watermarking

Add another level of security to your confidential documents

Overview

In the Trust Center, organizations can add watermarks to PDF files, which better protects confidential information and indicates the validity of legal documents.

This can be implemented globally or on a per-document basis, and will apply when an authenticated Account Member downloads a document from your Trust Center.

The watermark includes:

  • The Name of the downloading account member

  • The Email of the account member

  • A UTC timestamp in ISO 8601

Notes

  • Only PDF files are supported

    • Password-protected PDF files are NOT supported

  • The watermark will only apply to Restricted Items, not Public Items


Global Setup

As an Admin, navigate to Trust Center > Settings > Documents

  • Toggle Watermark PDF files

  • Optionally, toggle Hide "Downloaded from SafeBase" footer

    • By default, this adds a SafeBase footer to each PDF file

  • Click Save


Per document

As an Admin, navigate to Trust Center > Documents

  • Click on an individual document

  • Click the Watermark dropdown and change as needed

  • Click Save

Troubleshooting

If a PDF has hyperlinks, users may run into issues post-watermark where the links are no longer clickable. This may be due to how the PDF was generated.

Try opening the PDF and saving another copy in something such as Preview in macOS or Adobe Reader on Windows. This should resolve the issue.
