Integration - Docusign

Learn how to integrate Docusign to automate your NDA process

The Docusign integration is available for the following paid Trust Center plans: Foundation Growth, Advanced, and Enterprise.

Overview

โ€‹For organizations currently using Docusign for NDA purposes, SafeBase's Docusign integration can be used to integrate directly with existing legal workflows.

If an NDA is required before access is granted to the Trust Centers' confidential information, a user requesting access will be presented with a Docusign NDA.

Note: This integration works with all paid Docusign plans.

Setup

As an organization member with the Admin role, from within the Trust Center.

  • Navigate to Settings > NDA > Docusign

  • Click Connect

  • Log in to Docusign; users will be asked to approve SafeBase.

Note: It is recommended to use an integration user/service account. The account needs to be able to approve the Docusign OAuth connection and have access to the desired Template(s) that will be used for the NDA.


Select a template in Docusign

Select the NDA template in Docusign that will be used for outreach.

  • If a Docusign template does not exist, see the Docusign Templates Setup Guide and take note of the template's requirements in order to function in SafeBase.

Note: Many SafeBase customers utilized pre-signed NDAs for convenience

SafeBase only supports standard templates. If using Powerforms, please recreate the NDA using a standard template.

SafeBase supports the following fields: Signature, Name, Company, and Title. SafeBase cannot guarantee the behavior of any unsupported fields, and including other fields could result in undesired behavior.

Note: Role names are case sensitive; ensure they match exactly as they do in this help article.

  • In the template creation step:

    • Create a role called Signer (note the capital S)

    • Leave the Name and Email fields empty.

    • This enables the ability to drop placeholder blocks in the document e.g. Company, Title, etc.

    • The Name and Email will autofill if using Standard Fields.

  • The open source Universal NDA can be customized if an NDA template does not currently exist

  • Click the Next button

    • Drag the Signature, Name, Company, and Title into the template

  • Click Save and Close.

  • The template will now be available to select in the SafeBase NDA Settings.

Test the NDA Flow

  • Manually create a new account

    • Navigate to Accounts in the Trust Center

    • Click the + button, located in the top right of the Accounts Table

    • Add a Company Name & Email Domain

    • Set the NDA Provider to Docusign

    • Add a Recipient Name and Email

    • Click Create Account

  • The invited user will receive an email from Docusign to complete the NDA.

    • Note: This email will show the from name, reply-to name, and reply-to email as the name and email address of the Docusign user who made the integration in SafeBase. Further, the body of the email will show that user's name and email address.

Once signed, the user who signed the Docusign NDA will receive an email stating that the NDA has been completed.

A second email will also be sent from SafeBase letting notifying the user that access has been granted to the Trust Center.

Note: When a user completes this in Docusign, both the user and Trust Center admins will receive a notification from Docusign indicating that the document has been completed.

Miscellaneous

  • If needed, recipients can re-assign the Docusign envelope to a colleague that is authorized to sign on behalf of the organization.

    • When the 2nd recipient completes the envelope, the original requestor will receive an email confirming that the NDA has been completed, and both recipients will receive a copy for their records.

  • If the NDA displays as not having been sent, try to verify the following:

    • The integration user has access to one or more Docusign templates, and one has been designated as the default one.

    • Ensure that there is a role called Signer with the name and email fields left blank in the configuration.

  • If additional signers are required, ensure that the role, name, and email fields have a value.

    • If any of these are blank, the envelope will fail to send.

    • To streamline the user experience, we recommend using a pre-signed document to speed up the process.

  • You must choose a different default NDA provider before you can disconnect Docusign.
